Resource Scheduler (RS) is the official venue management application for the VHS campus. In addition to reserving venues, it also facilitates the scheduling of services from supporting departments such as Media Services and Housekeeping.
Below are some guidelines for booking your venue(s) in Resource Scheduler.
Request/book your event venue in RS with as much advance notice as possible.

- Your department administrator can book on your behalf or you may gain access/credentials by completing a short training course in Blackboard. Email vhs-rsadmin@odu.edu to get started.
- Venue requests may take a minimum of 72 hours for approval.
- Booking priority is given to academic classes or initiatives. Approval for space will take place after academic schedules are loaded throughout the year and could take up to several months. Contact VHSScheduling@odu.edu if your reservation has not yet been confirmed.
Lobbies and outdoor lawn spaces are approved by VHS Special Events and can be requested in RS.
- Be sure to request/book lobbies where needed for registration and/or food and beverage distribution.
Additional Information
- Use proper tabs in RS to request all necessary support services such as: housekeeping setup, event campus inventory, media/AV needs, maintenance/facilities needs, etc. The service requests should match the information submitted on your Event Work Order Form.
- Book your venue with actual start and end times so support departments can staff accordingly.
- Create separate reservations for setup and breakdown with clear labels (“setup / “breakdown”).
- Always include lobby requests for check-in, signage or food areas.
- When utilizing Lester 104 South, please allow an additional 1.5 hours before and after your event for Housekeeping to remove/reset furniture. Please note that Lester 104 North is not a standalone bookable venue and cannot be reserved as a combined 104 space.
- When utilizing Waitzer 100, please allow an additional 3 hours before and after your event for Housekeeping to remove/reset furniture. Reserve Waitzer 131 or 133 to temporarily store furniture removed from Waitzer 100.
- Tables cannot be removed from Waitzer 200 as they will not fit in the elevator and cannot be stored anywhere on the 2nd floor. For non-default setups, tables and chairs must be moved to one side or pipe and drape must be rented to conceal unused furniture.
- Photos, capacities and details for most venues are available in Resource Scheduler (Waitzer Hall not currently included).
- Be sure to update RS with all confirmed service needs and relevant details as your event plans evolve.
