
Circulation of Library Materials
Anyone may have access to the library to use its collections. In
order to borrow library materials, however, you must have a current client
record in our automated library information system and have a client
registration form on file. In addition to EVMS faculty,
staff, and students; borrowing privileges may also be granted to Hampton
Roads health care professionals and to faculty and graduate students of
Virginia Tidewater Consortium member institutions.
The general public and area businesses
may pay an annual subscription fee for borrowing privileges.
Currently, the fee for individuals is $50 per calendar year and $250 per
calendar year for businesses.

To obtain borrowing privileges:

Fill out the client registration form.
Forms are also available in the Library.

Provide proper identification (i.e., EVMS ID badge, driver’s license,
hospital ID badge, medical license)
Loan Periods
- Books - 2 weeks
- Journals - 1 week (certain
restrictions apply)
- Audiovisual (AV) media- 1 week
(certain restrictions apply)
- AV equipment - Overnight (certain
restrictions apply)
- Reserves - Varies, usually 2 hours
- Reference materials (including indexes,
theses/dissertations, and special collections) and current
journal issues do not circulate. Exceptions may be made on a
case-by-case basis.
All library borrowers are responsible for the safety and prompt return of items
checked out in their names.
Hold Requests
Hold requests for
items not available because they are checked out are handled at no charge on
a limited basis as time, staffing, and space permit.

A maximum of five (5) requests at one time will be taken for items to be held for a
single individual.

If urgently needed, any item
that is checked out may be recalled and must be returned immediately.

If an item is available, staff
members will retrieve the item and place it at the circulation desk.

Materials will be held for seven (7) working days.

If not retrieved within that time, they will be returned to the collection.
Materials returned to the collection after seven days will not be pulled a
second time.
Renewals
Materials may be
renewed at the Circulation Desk or by phone unless a hold request has been
filed. A maximum of three renewals is allowed.
Returning
Library
Materials
To ensure that you are
properly credited for returning library materials checked out in your name:

Return them through the book drop at the Circulation Desk.

Do not leave materials on the Circulation Desk.

When the Library is closed, return your books through the book drop
located in the wall outside the front door of the Library.

Do not return audiovisual media, CDs, or AV equipment through the book drop. You
will be responsible for damage to these fragile items.
Overdue or Lost Library Materials
Having overdue library materials will result in the loss of borrowing privileges.
Borrowers who lose, or otherwise fail to return, library materials are liable for replacement cost plus a $10
processing fee.
Fines
In addition to the loss of borrowing privileges, fines are charged for overdue
reserve materials.
- Time due is calculated by the automated computer system from the exact date and time
checked out.
- Fines for two-hour reserves are calculated from the exact time due.
- Fines for overnight and longer authorized loan periods are calculated from one hour
after the Library opens on the due date. (i.e. from 9 a.m. Monday - Friday and from 10 a.m.
Saturday and holidays, and 11:00 a.m. Sunday.)
The fine rate is $1 per item per hour or any increment thereof, to a maximum $5 per
item per day.
- Daily fines are cumulative (i.e., three days overdue = $15).
- Fines are due at the time the materials are returned.
- Unpaid overdue fines automatically accrue against the borrower's check-out record.
